Every month feels like a wild ride on a never-ending rollercoaster of automation opportunities brought to us by all of you and we're so thankful. The need for automation has grown significantly, even over the past few weeks. Now more than ever, CampTek is feeling the shift in need, and that need is immediate. We're learning and growing, hiring and adjusting best practices. 

We understand with that need, comes pressure.  Perhaps you're solving a financial issue. Or perhaps you're trying to alleviate staffing challenges or achieve organizational optimization. Whatever the reason you're automating, we understand that there is pressure to meet deadlines and budgets. That is why it is important that you rely on us for project management and customer success.

We hope that if you are bringing us into a project, you are doing so because you believe us to be the "automation experts" and you feel confident that we will guide you through the project as efficiently and as cost effectively as we can. And it is rare for a project to go 100% perfectly. Project timelines can get extended if a process design gets changed or updated, if there are access issues, or if there are internal leadership changes with a customer. Not ideal, but we hear and see you, and we're more than happy to meet regularly, adjust project needs or work with you on setting up the best way to work together.

Last week, our Director of Customer Operations, Gretchen Hyslip, released a podcast on how to prepare for a scope call. CampTek Software can build an automation, depending on complexity, in 4 - 6 weeks. However, that timeline only holds true if the steps are in place and large (or a lot of small) changes aren't being made to your process as we develop. There are a lot of variables that can extend the automation timeline and while we do our best to assist with streamlining processes, we aren't experts in your process, nor are we aware of any internal changes that might affect the process you'd like to automate. Scope calls are an important part of the process, and we can't emphasize this enough: prep work is important! RPA Killer Use Case: Data Migrations

It is said that, on average, 31% of an organization’s technology is made up of legacy systems. Maintaining those systems can be a costly burden, with an average of 60-80% of IT budgets allocated to keeping them running.

This can lead to a myriad of surface costs for companies which include:

  • Tech debt
  • Ongoing maintenance and support costs
  • License fees
  • Employee Burnout
  • Stale data
  • Outdated security methods
  • Frequent downtime

If you are an employee that has to work with these outdated systems, an IT professional who has to support them or a CFO that is signing off on the expenditures related to the continued use of these legacy applications, the costs are apparent.

 

Often an organization has made the choice to move off an older system to something more efficient or one that can better serve the present day needs of the business.  This is often the case in Healthcare where the decision has been made to move off one EMR onto another but still has the legacy system in place because ALL the data and files couldn’t be moved over with classic ETL tools. Other than manual keying and clicking of each discreet piece of data there really isn’t a way to do this without significant programming.

Enter in RPA to save the day.

As I have said in the past, RPA, specifically with UiPath, is the greatest integration platform in the world.  It can use the front end, back end, and plugin activities to get the job done. Since RPA by its nature is platform agnostic it doesn’t really care what systems it is moving data from.  In fact, in some cases RPA works best with older systems and equally well with today’s modern cloud applications.  We recently stood up an automation that will move 12 million files and over 100K encounter records from CPSI to Epic.

While the problem is there, few think of RPA as an answer.  An overt focus on API’s and back-end data transfer tools are a go-to.  The reality of the matter is that costs are sufficient to get some bots to do the work to prove out the ROI.

Challenge:

Due to lack of integration between systems, the cumbersome manual Purchase Order process from McKesson Direct into the Basware Invoice Portal was time consuming and error prone. The company was also concerned that this business task impeded scalability as they continued to grow.

As part of this daily process, a Full Time Employee (FTE) previously had to manually log into McKesson Direct and then input many PO transactional line items into the Basware Purchasing module. The Process required manually matching line items between the two systems and then reporting back delivery status and updates into Basware. The manual process for each invoice took approximately 4 minutes and was error prone.

Solution:

CampTek Software was able to analyze, design, build and place a bot into production within 4 weeks. The bot includes business rules and exception handling. The result, it took a 4-minute manual process for each transaction down to an average of 39 seconds. For the period, 14,000 transactions were run from a scheduled Bot saving 963 hours (about 1 month) and $9,000.
